The Background
Kainos are digital transformation experts who provide digital technology solutions and Workday deployments that allow organisations and people to work smarter, faster and better. For their annual kickoff, which during 2021 was fully virtual, Kainos wanted to increase staff engagement by sending out boxes of branded clothing for delegates to wear over the three-day conference. They wanted to provide each attendee with a choice of clothing options and deliver them to individual addresses ahead of the event. The delivery locations were mostly UK & Ireland, with some pan-European.
Our Solution
We worked with Kainos to curate options reflecting their eco-consciousness, from fully recycled fleece and cotton polo shirts to eco-friendly sweatshirts. Colour options were suggested based on the client’s colour pallet. To collate the information effectively and save the client a huge job, we created a standalone digital data-capture page which was GDPR compliant. This page would later be shared with all attendees and gave delegates the option to select clothing they liked, choosing their preferred colour and size, before confirming the individual delivery location and contact info. Of course, the page needed to be secure and contain safeguards to reduce the likelihood of accidentally duplicated orders or orders from contractors and people who didn’t directly work for the company. For those delegates who did not wish to receive a box, we created a charity donation option instead. We also created an HTML email template for the client to share the data capture page with global employees. Once the relevant branded clothing had been produced, our fulfilment team folded and packed three items per delegate and a letter-pressed thank you note from the CEO into recycled kraft boxes. The goods were shipped using DHL’s green logistics option, offsetting the carbon impact of each delivery.
The Results
We received over 1500 bespoke orders through our data capture form linked directly to our Logicon distribution system. Each delegate received email updates on their delivery, and we gave the client access to all delivery statuses. Every box was delivered within a three-day window in time for the event. We received excellent feedback from the client based on delegate feedback, some commenting it was the “best merch they’d ever seen”! In addition, delegates posted real-time updates on LinkedIn wearing their new Kainos clothing. The project and kickoff event was a huge success.
